How to prepare for a custom software project (before you spend a cent)
The cheapest part of a software project is the thinking you do before it starts. Here's how to arrive prepared — and what a good discovery process will ask of you.

You don't need a technical specification, a wireframe, or any jargon to commission custom software. That's the builder's job. But a little preparation on the business side makes your project cheaper, faster, and far more likely to land as something your team actually uses.
Here's what's worth thinking through before the first conversation.
1. Name the problem, not the solution
"We lose track of client jobs between quoting and delivery" is a better starting point than "we need an app". When you lead with the operational problem, the system gets designed around fixing it — and features that don't serve it can be cut without regret.
2. Know your people and roles
A quick list is enough:
- Who will use the system daily? (staff, managers, clients?)
- What should each role be able to see and do — and not see?
- Who approves things, and who needs reports?
- How comfortable is your least technical daily user?
3. Gather what you already have
The spreadsheets, paper forms, WhatsApp workflows, and invoice templates you use today are gold. They show how your business actually runs — not how anyone imagines it runs. Bring them to discovery; they often become the blueprint for the system's records and forms.
4. Be honest about budget and phasing
A good builder scopes to your number rather than inflating one. Decide roughly what you can invest now, and separate 'must solve this year' from 'nice to have later'. Phasing is normal: solve the biggest pain first, add departments and automation as the system proves itself.
5. Ask these questions of any developer
- Do we own the system and our data when it's done?
- Can our data be exported in usable formats — no lock-in?
- Is a once-off build possible, or is it subscription-only?
- How is security handled — access control, backups, audit trails?
- What does support look like after launch?
- Can we see something concrete before committing?
